1. Getting Started

1.1 What you need

1.2 The layout

The tool is one page in two halves. On the left, the editor in eight collapsible sections: Company Details, Quote Details, Client Details, Line Items, Tax & Discount, Notes & Terms, Signature and Theme & Branding (collapsed until you open it). Click a section's heading to fold or unfold it. On the right, the Live Preview: the quote as the client will see it, redrawn as you type. On tablets and phones the preview sits above the editor. The toolbar above both holds New, Save, Duplicate, Quotes, Clients, Catalog, Analytics, Settings and Shortcuts, and on the right PNG and PDF.

1.3 Where your records live

Saved quotes, clients, the catalog, settings and your company details are stored in your browser on this device. Nothing is uploaded and there is no account. The records are therefore only as safe as the browser profile: use Export All Data in Settings now and then (section 12) and keep the file with your accounts.

2. Company Details and Logo

Your side of the quote: company name (required), a multi-line address, phone, email, GSTIN or tax ID, and website. The name is printed large at the top left of the quote with the other details beneath it. Everything in this section is kept in the browser as you type and comes back on every new quote, so fill it in once.

Logo: click the dashed box, or drop an image onto it, to add your logo (PNG or JPG up to 2 MB). It is printed above the company name at up to 180 by 80 pixels. To change it, choose another image; it is kept with the company details.

4. Client Details

Company name (required), contact person (printed as "Attn:"), email, phone, billing address and GSTIN. Select Saved Client fills the section from the client list. Tick Save this client for future quotes and the client is added to the list at once. The Clients button in the toolbar opens the list, where Use fills the section in and the bin button deletes an entry.

5. Line Items, Sections and Optional Add-ons

Each line has a name and a description, an HSN or SAC code, a quantity, a unit (Nos, Hours, Days, Weeks, Months, Pieces, Kg, Meters, Sq.Ft, Sq.M, Lumpsum, Lot or Set), and a rate; the amount is quantity times rate. Add Line Item (or Ctrl+Enter) adds a row, the bin button removes one. The page opens with one empty row.

6. Tax and Discount

The totals block shows the subtotal, the discount and taxable amount when there is a discount, each tax line, and the grand total on a coloured row. The default tax type for new quotes is set in Settings.

7. Notes, Terms and Bank Details

Notes / Cover Letter is printed in a blue box under the totals: a personal message, the scope in a few lines, a thank-you. Terms & Conditions prints in a grey box; the five default lines (payment terms, validity, taxes, start of work, scope changes) are a starting point to edit. Bank Details prints in a yellow box only when "Show bank details" is ticked under Theme & Branding. Line breaks are kept in all three.

8. Signature

Two tabs. Draw Signature: draw on the pad with the mouse or a finger; Clear wipes it, Use Signature puts it on the quote. Upload Image: choose a picture of your signature; a PNG with a transparent background looks best. Under the tabs, Signatory Name and Designation print beneath the signature with the words "Authorized Signatory". The signature block appears on the quote as soon as there is a signature or a name, and is saved with the quote.

This section is collapsed by default; click its heading to open it.

The theme is not saved with the quote; choose it before you export.

12. Settings, Backup, Import and Clear Data

Settings (the gear button) opens a panel on the right. The defaults for new quotes are saved when the panel closes: default currency, default tax type, quote number prefix and validity in days.

12.1 Export All Data

Writes one file to your downloads folder, named quote-maker-backup with the date, holding every saved quote, client, catalog item and setting, logos and signatures included. It is plain text that any editor can open.

12.2 Import Data

Reads a file written by Export All Data and replaces the quotes, clients and catalog with the file's; settings are merged. If the browser already holds records you want to keep, export first.

12.3 Moving to another computer

Export on the old computer, copy the file across, Import on the new one. The company details are not in the file; type them once on the new computer.

12.4 Clear All Data

Removes the tool's quotes, clients, catalog and settings from the browser after a confirmation and starts a new quote. Your company details stay. Clearing the site's data in the browser removes everything.

13. Keyboard Shortcuts

Shortcuts do not fire while a field has the focus; Escape leaves the field. The Shortcuts button in the toolbar shows the same list.
