1. General Questions

Q1: What is QUOTIFY?
A1: QUOTIFY is a free tool for writing quotations, estimates, proposals and proforma invoices in your browser. You fill in a form on the left and the document takes shape on the right as you type: your company and logo, the client, line items with codes and units, GST or VAT, a discount, notes and terms, a signature and a theme. PDF opens the print dialog with only the quote on the page; PNG makes a picture. Saved quotes, clients and a catalog of repeat items are kept in the browser. There is no server: nothing you type is uploaded.
Q2: How much does it cost?
A2: It is free: no paid plans, no watermark on your quotes and no cap on how many you make. The site covers its costs through advertising.
Q3: Do I need an account?
A3: No. QUOTIFY opens ready to use, with nothing to sign up for. Since there are no accounts, your quotes are never copied to a server (section 2 explains where they are kept).
Q4: Who is it for?
A4: Freelancers, agencies, contractors, workshops and small businesses that send offers before the work starts: a web designer quoting a site in three sections, an electrician estimating a rewiring job by the point, a consultant proposing a retainer, an exporter sending a proforma invoice. The GST handling and the amount in words follow Indian practice; VAT, a custom tax and ten currencies cover clients elsewhere.
Q5: Does it work on a phone?
A5: Yes. On narrow screens the preview moves above the editor and the line items stack. The signature pad takes a finger. Entering many lines is quicker on a desktop, but a short quote is no problem on a phone.

2. Where Your Data Lives

Q6: Where are my quotes, clients and catalog stored?
A6: In this browser's local storage on this computer, along with your settings and company details, and nowhere else. Because they belong to this browser profile, opening QUOTIFY in a different browser or on another computer shows empty lists until you import a backup there.
Q7: Is the quote uploaded to make the PDF or the PNG?
A7: No. PDF uses your browser's own print dialog, and PNG draws the quote into an image on your device. Once the page has loaded, it keeps working if the connection drops.
Q8: What about my logo and my signature?
A8: Both are read by the browser and kept on the device: the logo with your company details, the signature with each saved quote. They are printed on the quote and included in the backup file. They are never uploaded.
Q9: What happens if I clear my browser data?
A9: You lose them. Quotes, clients, the catalog, settings and company details are all site data for zerodataupload.com, so clearing it, deleting the browser profile or resetting the device erases everything. Run Export All Data from Settings from time to time and keep the file safe.
Q10: Does the page use cookies or analytics?
A10: QUOTIFY keeps only your own quotes, clients, catalog and settings in the browser. Like every page here, the page also loads Google's advertising and analytics code, described in the Privacy Policy and the Cookie Policy. The content of your quotes is never passed to them.

3. Writing a Quote

Q11: Do I have to type my company details every time?
A11: No. The Company Details section is kept in the browser as you type, logo included, and comes back on every new quote. Change it when something changes.
Q12: How are quote numbers generated?
A12: From the year and a counter of saved quotes, behind your prefix: QT-2026-001, QT-2026-002 and so on. The prefix is set in Settings (EST- or your initials work too) and the number can be typed over. Version lets you mark a revision (v2, v3) of the same number; it prints beside the number from v2 on.
Q13: What is the difference between Quotation, Estimate, Proposal and Proforma Invoice?
A13: Only the title printed on the document; the fields are the same. A quotation is a firm offer at a fixed price, an estimate an approximate figure, a proposal a quote with a scope description in the notes, and a proforma invoice an invoice-shaped offer that a buyer uses to arrange payment or import paperwork before the real invoice.
Q14: How does GST work on the quote?
A14: Choose GST (CGST + SGST) for a client in your own state or GST (IGST) for a client in another state, and pick 0, 5, 12, 18 or 28 percent. The tax is worked out on the subtotal after any discount and printed as separate lines, CGST and SGST at half the rate each, or IGST at the full rate. Put the HSN or SAC code on each line and both GSTINs on the quote, as a GST invoice will need them later.
Q15: What does "Prices are tax inclusive" do?
A15: With it ticked, the rates you type already contain the tax: the tax is extracted from the taxable amount and shown on its own lines, and the grand total equals the taxable amount. With it off, the tax is added on top.
Q16: What about VAT or another tax?
A16: VAT takes a rate of your own (15% by default). Custom Tax takes a name and a rate, for example "Service Tax" at 10%, and prints it under that name. No Tax leaves the tax lines out.
Q17: Can I give a discount?
A17: Yes, as a percentage of the subtotal or as a fixed amount. The quote then shows the subtotal, the discount, the taxable amount and the tax on the reduced figure.
Q18: How do sections and optional items work?
A18: Add Section creates a named heading in the line items; Add Item under it adds lines to that group, and the quote prints the heading above them. Tick "Optional add-on" on a line (or right-click it) and it is listed on the quote, marked as optional and in italics, but left out of the subtotal and the total.
Q19: What is the catalog?
A19: A list of your repeat products and services with a rate and an HSN or SAC code. Add to Catalog in the Catalog window asks for the name, rate and code; From Catalog in the line items adds one to the quote with a click.
Q20: Which currencies are supported?
A20: Indian rupee, US dollar, euro, pound sterling, UAE dirham, Australian, Canadian and Singapore dollars, Japanese yen and Chinese yuan. The choice sets the symbol; amounts are not converted, and numbers are grouped in the Indian style (1,00,000).
Q21: What does "Show amount in words" print?
A21: The grand total written out, in the Indian numbering system (thousand, lakh, crore) with paise for the decimals, followed by the currency code: "Twelve Thousand Five Hundred INR Only". Untick it for a quote in another currency if the Indian wording does not suit.

4. Signature and Themes

Q22: Can I sign the quote?
A22: Yes. Draw on the signature pad with the mouse or a finger and click Use Signature, or switch to Upload Image and choose a picture of your signature (a PNG with a transparent background looks best). It is printed above the signatory's name and designation at the foot of the quote. Clear removes it.
Q23: What are the five themes?
A23: Corporate (blue), Minimal (black), Creative (purple), Bold (red) and Elegant (teal). They set the colour of the title, the table header, the client box and the grand total. Primary Colour overrides that colour with one of your own; choosing a theme again resets it. The theme buttons are under Theme & Branding, which is collapsed by default.
Q24: What are the statuses for?
A24: Draft, Sent, Viewed, Accepted, Rejected and Expired are printed as a badge on the quote and kept with the saved quote. Analytics counts the saved quotes, the share with the status Accepted, and the average and total value.

5. Saving, PDF and PNG

Q25: What does Save do, and what is auto-save?
A25: Save (Ctrl+S) stores the quote with its status, signature and all; it needs a quote number. Once a quote has been saved, every later change is saved to it automatically. New (Ctrl+N) starts a fresh quote; Duplicate (Ctrl+D) keeps everything in the form but gives it a new number, today's date and the status Draft, which is the quickest way to make a revision or a similar quote for another client.
Q26: How do I get a PDF?
A26: Click PDF (or press Ctrl+P). The browser's print dialog opens with only the quote on the page; choose "Save as PDF" as the destination, or a printer for paper. The result is a text-based PDF that can be searched and copied and that runs to a second page when the quote is long. Tick "Background graphics" in the dialog if the coloured table header is missing.
Q27: What is PNG for?
A27: A picture of the quote at double resolution, named after the quote number, for messaging apps and for pasting into an email. It is made on your device.

6. Backups

Q28: What does Export All Data save?
A28: Everything you have saved, in one readable text file: all quotes, clients and catalog items plus your settings, with logos and signatures. It downloads to your normal downloads folder. You will find Export All Data under the gear (Settings) button in the toolbar.
Q29: Does Import Data add to my records or replace them?
A29: Quotes, clients and catalog items from the file take the place of the ones in the browser, while settings are combined. Export a backup first if there is anything in this browser you want to keep.
Q30: How do I move to a new computer?
A30: Use Export All Data on the old machine, move the file over (by USB stick or email, for example) and Import it on the new one. Company details are not part of the backup, so enter them again once.

7. Shortcuts and Theme

Q31: Are there keyboard shortcuts?
A31: Ctrl+N new quote, Ctrl+S save, Ctrl+O saved quotes, Ctrl+D duplicate, Ctrl+P PDF, Ctrl+Shift+P PNG, Ctrl+Enter add a line item, ? the list of shortcuts. On a Mac use Cmd instead of Ctrl. The shortcuts do not fire while you are typing in a field; Escape leaves the field.
Q32: Can I use a dark theme for the page?
A32: Yes. The moon button in the top right corner toggles light and dark for the page, and every other page on the site follows. The quote sheet itself keeps its colours, so PDFs and PNGs look identical in both themes.

8. Troubleshooting

Q33: "Please enter a quote number" appears when I save.
A33: The Quote Number field is empty. Type a number, or click New to have one generated, and save again.
Q34: "Logo file must be under 2MB".
A34: The image is too large. Resize it first (a logo a few hundred pixels wide is enough; UltraCompress Pro on this site shrinks it in the browser) and choose it again.
Q35: The PDF has no colours in the table header.
A35: The print dialog's "Background graphics" option is off. Tick it under More settings and print again.
Q36: Import says the file is invalid.
A36: The import only understands files made by QUOTIFY's Export All Data. Check you selected the correct backup and that it has not been edited; if there are several, try the latest one first.
Q37: My quotes disappeared.
A37: Cleared browsing data, a different browser or device, a new profile or a private window: the records live in one browser profile on one device. Import your latest backup; without one they cannot be recovered.
