1. Getting Started

1.1 What you need

1.2 The layout

The tool has two panels side by side (the preview above the editor on narrow screens). The Meeting Editor has tabs for Basic Info, Attendees, Agenda, Content, Actions and Amendments, with New Meeting and Save in its header. The Live Preview shows the finished minutes as you type, with a style menu in its header. The toolbar above the panels holds Archive, Dashboard, Settings and Export.

1.3 Quick start

  1. Pick a meeting template on the Basic Info tab (Stand-up, Project Review, Board Meeting and so on)
  2. Enter the title, date and times
  3. Add the attendees on the Attendees tab
  4. Adjust the agenda the template filled in
  5. Record discussions, decisions and action items as the meeting goes
  6. Save, then Export to PDF, Word or Markdown

1.4 Where your minutes live

Every meeting, the archive, your settings and your logo are stored in your browser on this device. Nothing is uploaded and there is no account. Export finished minutes as files, and use Export All in the Archive now and then to back up every meeting to one file.

2. Basic Meeting Information

3. Attendees

Enter a name (required), a role, an email and the attendance status (Present, Absent, Excused or Via Video Call) and click Add. Attendees appear as a table in the minutes with their status, and those with an email address are the recipients of the email draft on the Export window. The cross removes an attendee.

4. Agenda

Add items with a title, a time allocation in minutes and a presenter. Items are numbered in order and listed in the minutes with their timing and presenter. Discussion points can be tied to an agenda item, so the Discussion Summary in the minutes reads in agenda order.

5. Content: Discussions, Decisions, Motions, Follow-up, Attachments

5.1 Discussions

Choose the related agenda item (or General Discussion), name the speaker and type the point. Discussions appear in the minutes as a Discussion Summary, grouped under the agenda item.

5.2 Decisions

Choose a category (General, Policy Change, Budget/Financial, Personnel, Project Related, Timeline/Schedule) and write the decision in one sentence. Decisions are numbered in the minutes with a DECIDED marker.

5.3 Motions

For formal bodies: the motion text, who proposed and seconded it, the votes for, against and abstaining, and the result (Passed, Failed, Tabled, Withdrawn). The minutes show each motion with its vote.

5.4 Follow-up

Items for a later meeting: Parking Lot, Deferred to Next and Outstanding Issue. They appear as a Follow-up Items list in the minutes.

5.5 Attachments

The files that were shared or referred to, by name and type (document, presentation, spreadsheet, image, other). Only the names are recorded; no file is stored.

6. Action Items and the Dashboard

On the Actions tab enter the task and the assignee (both required), a due date, a priority (High, Medium, Low) and a status (Pending, In Progress, Completed, Overdue, Cancelled). The status can be changed from the list afterwards. Actions appear as a numbered table in the minutes with assignee, due date and priority.

When a previous meeting is referenced on the Basic Info tab, its action items are shown under the current ones for review.

The Dashboard in the toolbar lists the action items of every saved meeting with counts of total, pending, in progress, overdue and completed, and filters by assignee, status and priority. Save a meeting for its actions to appear there.

7. Amendments

Corrections to minutes that have already been distributed. Enter the reference of the meeting being corrected and the correction. Amendments are listed in their own section of the current minutes with the date they were recorded, so the original minutes stay as issued and the correction is on the record.

8. The Live Preview and Document Styles

The preview redraws with every change: the company logo or an initial, the company name, the MEETING MINUTES title, the series badge, the meeting information, the attendee table, the agenda, discussions, decisions, motions, action items, follow-ups, attachments, amendments and a signature block for the minute taker and the chair. A confidential meeting gets a banner at the top.

Switch the style with the menu above the preview or in Settings. The primary and secondary colours from Settings are used by every style. The minutes keep their own paper colours whichever page theme is on.

9. Exporting and Sharing

The attendees with an email address are listed as recipients; the subject is filled from the title. Open in Email Program opens a draft in your own email program with those addresses, the subject and your message. Attach the exported file before sending; nothing is sent from this site.

10. The Archive

Save (or Ctrl+S) adds the current meeting to the archive, or updates it if it was loaded from there. Archive in the toolbar lists saved meetings with their number, date and attendee count, searchable by title, number or attendee and filterable to the last 7 days or this month. Click a meeting to load it for editing; the bin deletes it. Export All saves every meeting to one file as a backup; Clear Archive deletes them all after a confirmation.
