1. General Questions
Q1: What is MINUBOT?
A1: MINUBOT is a free tool for writing meeting minutes in your browser. You pick a meeting template, enter the attendees, agenda, discussion points, decisions, motions and action items, and the minutes take shape in a live preview as you type. Finished minutes export to PDF, Word, PNG or Markdown; saved meetings go into an archive, and a dashboard tracks the action items across all of them. There is no server: meetings, the archive and your settings are stored in your browser on your device.
Q2: Is MINUBOT free to use?
A2: Yes. There are no plans, no premium features and no subscription; every feature is available to everyone. Like every page on ZeroDataUpload, the tool is supported by advertising.
Q3: Do I need to create an account?
A3: No. Open the page and start writing minutes. Because there is no account, there is also no copy of your meetings on a server (see section 2).
Q4: Can I use it offline?
A4: Once the page has loaded, yes: the editor, the preview and the exports all work without a connection, which suits meeting rooms with poor wifi. Reloading the page needs a connection.
2. Where Your Data Lives
Q5: Where are my meetings stored?
A5: In your browser's storage on the device you are using. Nothing is sent to a server. The meetings are tied to that browser profile on that device: open the tool in another browser, or on another computer, and the archive is empty there.
Q6: How many meetings can I save?
A6: Hundreds. The limit is the browser's storage for the site, typically 5 to 10 MB, and a meeting without a logo is a few kilobytes. A large company logo is the one thing that uses space quickly; a logo a few hundred pixels wide is enough.
Q7: What happens if I clear my browser data?
A7: Clearing site data, cookies or "browsing data" for zerodataupload.com removes the archive and the settings, because they are part of that data. To avoid losing minutes, export the finished ones as PDF or Word, use Export All in the Archive window now and then to save every meeting to one file, and exclude site data when you clear browsing data.
Q8: Does the page use cookies or analytics?
A8: The tool itself stores only your meetings and settings in the browser. The page, like every page on this site, loads Google advertising and analytics code; the Privacy Policy and Cookie Policy explain what those services collect and how the cookie banner controls them. Your minutes are never part of it.
Q9: Can multiple people access the same meeting?
A9: The tool is for one minute taker on one device. For collaboration, export the minutes as PDF, Word or Markdown and share the file, or use the email button to open a draft to the attendees in your own email program.
3. Writing Minutes
Q10: What meeting templates are available?
A10: Eight: Stand-up, Project Review, Board Meeting, Client Call, One-on-One, Retrospective, Brainstorm and General. Each fills the agenda with the usual items for that kind of meeting and suggested timings (a board meeting gets Call to Order through Adjournment; a retrospective gets what went well, what could improve, what we commit to). Edit, remove or add items freely; General starts empty.
Q11: What is the meeting number for?
A11: It is the reference that identifies the minutes in later emails and meetings, such as MOM-2026-014. Settings offers three formats and a custom one (YYYY, MM, QN and NNN are replaced by the year, month, quarter and running number). The number rises by one with each new meeting.
Q12: What are the Content sub-tabs?
A12: Discussions (points made, by speaker, tied to an agenda item if you like), Decisions (one sentence each, by category), Motions (the motion, proposer, seconder, votes for, against and abstaining, and the result), Follow-up (parking lot, deferred and outstanding items) and Attachments (the files that were shared, by name and type).
Q13: How do action items work?
A13: Each has a task, an assignee, a due date, a priority and a status that you can change from the list. They appear as a table in the minutes. Once the meeting is saved, the Dashboard lists them together with the actions of every other saved meeting, filterable by assignee, status and priority.
Q14: What does the Previous Meeting Reference do?
A14: It links the current meeting to an earlier one from the archive, so the series stays connected and the earlier meeting's open action items can be reviewed on the Actions tab.
Q15: What is the Amendments tab for?
A15: For corrections to minutes that have already been distributed. Record the reference of the meeting being corrected and the correction itself; it appears in an Amendments section of the current minutes, which is how formal bodies keep their record straight without editing the original.
Q16: What do the confidentiality levels do?
A16: Public and Internal are recorded in the meeting information. Confidential and Strictly Confidential also print a red banner across the top of the minutes, so a forwarded copy carries the warning with it.
4. Branding and Styles
Q17: Can I customise the document style?
A17: Yes. Settings offers five styles: Corporate, Minimal, Legal, Creative and Government, which change the typeface, the title and the section headings of the minutes. You can also add your company logo and name and choose a primary and a secondary colour; the preview and every export use them. The style can also be switched with the menu above the preview.
Q18: Where is my logo stored?
A18: With your settings, in the browser on this device. It is never uploaded. It is included in the Export All file so it travels with a backup.
5. Exporting and Sharing
Q19: What export formats are available?
A19: Four:
- PDF - opens the minutes in a new tab and starts the browser's print dialog, where you choose Save as PDF or a printer
- Word - a .doc file that Word, LibreOffice and Google Docs open for further editing
- PNG - a picture of the minutes
- Markdown - plain text with headings and tables for wikis and documentation systems
Q20: Why isn't the PDF export working?
A20: The PDF export opens a new tab, which pop-up blockers may stop. Allow pop-ups for zerodataupload.com and try again. If the print dialog still does not appear, use Print from the browser menu with the preview on screen, or export to Word.
Q21: Does the email button send the minutes?
A21: No. It opens your own email program with the attendees' addresses (those with an email entered), a subject and a message filled in. Nothing is sent from this site. Attach the exported PDF or Word file to the draft before you send it.
Q22: How do I back up all my meetings?
A22: Open the Archive and click Export All. One file holds every saved meeting. Keep it with your other backups. Individual meetings can also be exported as PDF, Word or Markdown at any time.
6. Settings and Shortcuts
Q23: What does auto-save do?
A23: Every 30 seconds, every minute or every 5 minutes (your choice, or off) the meeting you are editing is written to the browser's storage, so a closed tab does not lose it. Save adds the meeting to the archive; auto-save keeps the draft.
Q24: Are there keyboard shortcuts?
A24: Ctrl+S saves the meeting, Ctrl+N starts a new one, Ctrl+E opens the export window and Escape closes any window.
Q25: Can I use a dark theme?
A25: Yes. The moon button at the top right switches the page between light and dark, and the choice follows you to every page on ZeroDataUpload. The minutes in the preview keep their own paper colours whichever page theme is on, so the exports are the same either way.
7. Troubleshooting
Q26: "Please enter a meeting title" when I save.
A26: A meeting needs a title before it can be saved to the archive. Type one on the Basic Info tab and save again.
Q27: The PNG export says it needs a manual screenshot.
A27: The PNG is drawn from the preview by the browser, and a few browsers refuse when the minutes contain a logo. Remove the logo for the PNG, or export to PDF instead.
Q28: My archive vanished.
A28: Cleared browsing data, a new browser profile or a reset removes site storage, and the archive with it. The minutes you exported as files are safe; the archive itself cannot be recovered unless you saved an Export All file, which you can load by opening it in a text editor and copying the meetings back by hand. Export All regularly.
