1. Getting Started
1.1 What you need
- A modern browser (Chrome, Edge, Firefox, Safari or Opera) with JavaScript enabled
- Site data allowed for zerodataupload.com, because invoices, clients and settings are stored in the browser
- A normal window rather than a private one, so the records survive closing the tab
1.2 The layout
The tool has five sections, chosen with the tabs under the headline: Dashboard, New Invoice, Invoice History (with the number of saved invoices), Clients and Settings. The toolbar below the tabs shows the open section and holds three buttons that work everywhere: Backup, Import and New Invoice.
1.3 Where your records live
Every invoice, client and setting, including your logo, is stored in your browser on this device. Nothing is uploaded and there is no account. The records are therefore only as safe as the browser profile: click Backup now and then (section 11) and keep the file with your accounts.
2. Settings: Business Details and Branding
Do this once, before the first invoice; everything here becomes the default for every new invoice.
- Branding: your company logo (any image; a few hundred pixels wide is enough), the accent colour used for the title and table of the Minimal and Dark templates, and a tagline shown under the company name.
- Default Business Information: business name, address, email, phone, tax ID or GST number and PAN. These fill the "From" section of each new invoice and can still be changed per invoice.
- Invoice Settings: the invoice number prefix (INV- by default), the next number, the default currency (eight to choose from) and the default tax rate.
- Default Invoice Template: Minimal, Corporate, Creative or Dark.
- Default Notes & Terms: the notes, payment terms and footer message printed on every new invoice. Put your bank details in the payment terms so they appear on each invoice.
Settings are saved as soon as you leave a field.
3. Creating an Invoice
3.1 Invoice Information
Click New Invoice (or press Ctrl+N). The number comes from your prefix and counter, the issue date is today and the due date is thirty days on. Choose the currency, the status (Draft, Sent, Paid or Overdue) and the template for this invoice.
3.2 From (Your Business)
Filled from Settings. Change anything for this invoice only; the defaults stay as they were.
3.3 Bill To (Client)
Pick a saved client from the drop-down, or type the client's name, address, email and phone. Save Client under the form adds the typed client to the client book for next time.
3.4 Notes and Payment Terms
Notes appear under the totals; payment terms below them. Line breaks are kept, so bank details can be listed one per line.
3.5 Saving
Save Invoice (or Ctrl+S) checks that the invoice number, your business name and the client name are filled in, that at least one line item exists and that the number is not already used, then adds the invoice to the history and raises the counter. Reset clears the form back to the defaults.
4. Line Items, Tax and Totals
- Each line has a description, a quantity and a rate; the amount is quantity times rate and the subtotal updates as you type. Add Line Item (or Ctrl+L) adds a row; the cross removes one. Lines with nothing in them are ignored.
- Under the subtotal, choose No Tax, GST, VAT or Sales Tax and type the rate in percent. The tax line shows the label and rate ("GST (18%)") and the total adds the tax.
- The invoice shows the subtotal, the tax line (only when the rate is above zero) and the grand total.
5. Templates and the Live Preview
5.1 The four templates
- Minimal: white paper, the accent colour for the title and the table header.
- Corporate: light grey paper, dark headings and table header.
- Creative: a soft gradient background with a purple-to-pink title and table header.
- Dark: dark paper with light text and the accent colour for the table header.
5.2 The preview
The preview beside the form (above it on narrow screens) redraws with every keystroke and is exactly what the PDF and PNG will contain: logo or initial, company name and tagline, invoice title and number, both parties, dates, currency and status, the item table, the totals, notes, payment terms, the export-of-services block when enabled, and the footer message. The paper keeps its own colours whichever page theme is on.
6. PDF, PNG and Print
The three buttons above the preview:
- PDF (also Ctrl+P): the preview is drawn into an image at double resolution and placed on an A4 page. The file is named after the invoice number (INV-0042.pdf).
- PNG: the same picture as an image file, for messaging apps or pasting into an email.
- Print: the browser's print dialog with only the invoice on the page. Choose "Save as PDF" there for a text-based PDF that can be searched and paginates long invoices.
6.1 Long invoices
The PDF button makes one A4 page holding a picture of the preview. A very long invoice is scaled to the page width and may run past the bottom. Shorten the notes, split the invoice, or use Print and save as PDF from the browser.
7. Foreign Remittance (Export of Services)
For an Indian business invoicing a client abroad. Tick Enable Export of Services Compliance to add three fields to the invoice:
- Purpose Code: the RBI code the bank needs for the inward remittance (P0801 software services, P0802 IT services, P0803 business services, P0804 consulting, P0805 other services).
- Service Category: a short description, for example "Software Development".
- GST Exemption Declaration: the statement that the supply is an export of services, with the Letter of Undertaking (LUT) number where applicable.
The block prints after the payment terms. Leave the box unticked for ordinary invoices. Check the wording with your accountant; the tool prints what you type.
8. The Dashboard
- Total Invoices: how many are saved.
- Total Revenue: the sum of invoices marked Paid, shown in the default currency's format (amounts in other currencies are added as numbers, not converted).
- Pending Payment: invoices that are Draft, Sent or Overdue.
- Total Clients: the size of the client book.
Recent Invoices lists the last five; click a row to open it for editing. Quick Actions jump to a new invoice, a new client, Settings or Import.
9. Invoice History
Every saved invoice with its number, client, dates, amount and status. The search box matches the number and the client name; the Status, From and To filters narrow the list by status and issue date. Each row has four actions:
- Edit (pencil): opens the invoice in the form. Change the status here when an invoice is sent or paid.
- Duplicate: a copy with a new number, today's date and Draft status.
- Download: opens the invoice and downloads its PDF.
- Delete: removes it after a confirmation. This cannot be undone.
10. Clients
The client book. Add Client opens a window for the name, address, email and phone; the search box filters by name or email. Each card shows the number of invoices for that client and the total billed (matched by the client name), with Edit, Invoice (a new invoice with that client filled in) and Delete. Deleting a client does not delete their invoices.
11. Backup, Import and Clear Data
11.1 Backup
Click Backup in the toolbar or Export Backup in Settings. One file, bill-generator-backup-(date).json, holds every invoice, every client and all settings including the logo. Keep it with your accounts.
11.2 Import
Click Import and choose a backup file. The invoices and clients in the browser are replaced by the file's; settings are merged. Back up first if the browser holds records you want to keep.
11.3 Moving to another computer
Backup on the old computer, copy the file across, Import on the new one.
11.4 Clear All Data
In Settings. Removes every invoice, client and setting from this browser after a confirmation. It does not touch backup files or other devices.
12. Keyboard Shortcuts
- Ctrl+N (Cmd+N on a Mac): new invoice
- Ctrl+S: save the invoice (on the New Invoice page)
- Ctrl+P: download the PDF (on the New Invoice page)
- Ctrl+L: add a line item (on the New Invoice page)
- Ctrl+D: switch between the light and dark theme
Shortcuts do not fire while a field has the focus, so typing is never interrupted.
13. Troubleshooting
- "Please fill in: ...": the named field is empty, or there is no line item. Fill it in and save again.
- "Invoice number already exists": another saved invoice has that number. Use the next number or edit the existing invoice.
- The logo is missing on the PDF: choose it again in Settings and check the preview shows it. Very large images slow the PDF down; a few hundred pixels wide is enough.
- The PDF is cut off: the invoice is longer than one A4 page. Shorten it, split it, or use Print and save as PDF.
- Import says the file cannot be read: only files written by Backup are accepted; a hand-edited file may be unreadable. Try the most recent backup.
- Records vanished: cleared browsing data, a new profile or a reset removes site storage. Import your latest backup; without one the records cannot be recovered.
