1. General Questions
Q1: What is Bill Generator?
A1: Bill Generator is a free tool for making bills and invoices in your browser. You enter your business details once, add a client and the line items, choose a template, and download the result as a PDF or a PNG or print it. Saved invoices are listed with their status (draft, sent, paid, overdue), clients are kept in a client book, and a backup file holds everything. There is no server: invoices, clients and settings are stored in your browser on your device.
Q2: How much does it cost?
A2: Nothing. There are no plans, no watermark on the invoices and no limit on the number of invoices or clients. Like every page on ZeroDataUpload, the tool is supported by advertising.
Q3: Do I need an account?
A3: No. There is no registration and no login. Open the page and start. Because there is no account, there is also no copy of your invoices on a server (see section 2).
Q4: Who is it for?
A4: Freelancers, consultants, small shops and anyone who needs a clean invoice now and then without a subscription: a designer billing a client abroad, a tutor invoicing parents monthly, a workshop writing a bill for a repair. It handles GST, VAT and sales tax, eight currencies and the export-of-services fields Indian banks ask for.
2. Where Your Data Lives
Q5: Where are my invoices and clients stored?
A5: In your browser's storage on the device you are using. Nothing is sent to a server. The records are tied to that browser profile on that device: open the tool in another browser, or on another computer, and the list is empty until you import a backup there.
Q6: Is the invoice uploaded to make the PDF?
A6: No. The preview is drawn into an image by your browser and written into an A4 PDF on your device. PNG works the same way, and Print opens the browser's own print dialog. The page works offline once it has loaded.
Q7: What about my logo?
A7: The logo you choose in Settings is read by the browser and stored with your settings on the device. It is printed on every invoice and included in the backup file. It is never uploaded.
Q8: What happens if I clear my browser data?
A8: Clearing site data, cookies or "browsing data" for zerodataupload.com removes the invoices, clients and settings, because they are part of that data. The same happens when a browser profile is deleted or a device is reset. Click Backup now and then and keep the file with your accounts.
Q9: Does the page use cookies or analytics?
A9: The tool itself stores only your invoices, clients and settings in the browser. The page, like every page on this site, loads Google advertising and analytics code; the Privacy Policy and Cookie Policy explain what those services collect and how the cookie banner controls them. Your invoices are never part of it.
3. Making an Invoice
Q10: Which fields are required?
A10: Three: the invoice number, your business name and the client name, plus at least one line item. Everything else is optional. Fill in your business details once in Settings and every new invoice starts with them.
Q11: How are invoice numbers generated?
A11: From the prefix and the next number in Settings (INV- and 1 give INV-0001). Each saved invoice raises the counter by one so numbers stay unique and in sequence. You can type any number by hand; a number that already exists is refused.
Q12: Can I add GST, VAT or sales tax?
A12: Yes. Under the line items choose GST, VAT or Sales Tax and type the rate. The tax line and the total update at once and the invoice shows the right label, for example "GST (18%)". A default rate for new invoices can be set in Settings. There is one tax line per invoice; for mixed rates, split the work across invoices or describe the split in the notes.
Q13: Which currencies are supported?
A13: US dollar, euro, pound sterling, Indian rupee, Australian dollar, Canadian dollar, Japanese yen and Chinese yuan. The currency is chosen per invoice and sets the symbol and formatting; amounts are not converted. Settings holds the default for new invoices.
Q14: What are the four templates?
A14: Minimal (white, blue accents), Corporate (grey paper, dark headings), Creative (soft gradient with purple-to-pink accents) and Dark (dark paper with light text). Switch between them on an invoice at any time; the content stays. Settings holds the default and the accent colour used by the Minimal and Dark templates.
Q15: What is the Foreign Remittance section?
A15: Fields for an Indian business invoicing a client abroad: a purpose code (P0801 for software services, P0802 for IT services, and so on), a service category and a GST exemption declaration, usually under a Letter of Undertaking (LUT). Banks and accountants ask for them on export-of-services payments. Tick "Enable Export of Services Compliance" to add them to the invoice; leave it off for ordinary invoices.
Q16: Can I edit an invoice after saving it?
A16: Yes. Open Invoice History and click the pencil, or click the row on the dashboard's Recent Invoices. Change anything, including the status, and save. Duplicate makes a copy with a new number and today's date, which is the quickest way to bill a regular client again.
4. Clients
Q17: How do I save a client?
A17: Either click Save Client under the invoice form after typing the client's details, or go to the Clients page and click Add Client. Saved clients appear in the "Select Saved Client" drop-down, and the Clients page shows each one with the number of invoices and the total billed.
Q18: How does the tool match invoices to clients?
A18: By the client name on the invoice. Keep the spelling the same (pick the client from the drop-down rather than retyping) and the counts on the Clients page stay right. Renaming a client does not rename past invoices.
5. PDF, PNG and Print
Q19: Which output should I send?
A19: PDF for almost every client: it opens everywhere and looks exactly like the preview. PNG is handy for messaging apps. Print gives a paper copy, and the browser's "Save as PDF" option in the print dialog makes a text-based PDF whose contents can be searched and copied.
Q20: The PDF is cut off or has a blank area.
A20: The PDF is one A4 page holding a picture of the preview. A very long invoice (dozens of lines or long notes) is scaled to fit the page width and may run past the bottom. Shorten the notes, split the invoice, or use Print and save as PDF from the browser, which paginates.
Q21: The downloaded file name is the invoice number. Can I change it?
A21: Rename the file after downloading, or change the invoice number before you download. The name follows the number so that INV-0042.pdf is easy to find later.
6. Backups
Q22: What does Backup save?
A22: One file with every invoice, every client and all settings, including your logo. It is plain text that any editor can open, and it goes to your downloads folder like any other download.
Q23: Does Import add to my records or replace them?
A23: It replaces them with the file's invoices and clients and merges the settings. If the browser already holds records you want to keep, export a backup first.
Q24: How do I move to a new computer?
A24: Backup on the old computer, copy the file across, Import on the new one. The logo travels inside the file.
7. Settings and Shortcuts
Q25: Where do I set my business details?
A25: Settings, under Default Business Information: name, address, email, phone, tax ID or GST number and PAN. Branding holds the logo, accent colour and tagline; Invoice Settings the number prefix, next number, default currency and tax rate; Default Notes & Terms the texts that appear on every new invoice.
Q26: Are there keyboard shortcuts?
A26: Ctrl+N (Cmd+N on a Mac) starts a new invoice, Ctrl+S saves it, Ctrl+P downloads the PDF, Ctrl+L adds a line item and Ctrl+D switches between the light and dark theme. The shortcuts do not fire while you are typing in a field.
Q27: Can I use a dark theme?
A27: Yes. The moon button at the top right switches the page between light and dark, and the choice follows you to every page on ZeroDataUpload. The invoice paper keeps its own colours whichever page theme is on, so the PDF is the same either way.
8. Troubleshooting
Q28: "Please fill in: ..." appears when I save.
A28: The invoice number, your business name or the client name is empty, or there is no line item with a description, quantity or rate. Fill in the named field and save again.
Q29: "Invoice number already exists".
A29: Another saved invoice has that number. Use the next number, or edit the existing invoice from Invoice History instead of creating a new one.
Q30: The logo does not appear on the PDF.
A30: Choose the logo again in Settings; the preview should show it at once. Very large images make the PDF slow to build; a logo a few hundred pixels wide is enough. If the preview shows it but the PDF does not, try the PNG button and check the browser is up to date.
Q31: Import says the file cannot be read.
A31: Import accepts only files written by Backup. Check that you chose the right file and that it was not edited by hand. If you have several backups, try the most recent.
